Cancellations and Refunds Policy

At The Mumbai Studio, we prioritize offering seamless and professional services to our clients. However, certain situations may require cancellations or refunds. This policy outlines the terms and conditions for cancellations and refunds applicable to our services.

1. Client-Initiated Cancellations

Cancellations must be requested via email, phone, or during the confirmation call with the production team at least 7 working days before the scheduled shoot or service date to be eligible for rescheduling.
Cancellations made less than 7 working days before the appointment will not qualify for rescheduling or refunds, as payments to various vendors would have already been processed to ensure service availability.

2. Studio-Initiated Cancellations

In rare cases where The Mumbai Studio cancels a booking due to unforeseen circumstances (e.g., technical issues, emergencies, climatic conditions, unavailability of staff, or any other unavoidable reason), clients will be notified at the earliest.
In such cases, clients will be rescheduled to the next earliest batch, subject to the availability of all involved parties.

3. Refund Policy

Eligibility for Refunds:

Refund requests will not be entertained for:
- Cancellations made after confirming the booking of services.
- Services that have been rendered or partially completed.

Non-Refundable Items:

Payments made for third-party services (e.g., makeup artists, fashion stylists, hair stylists, or rented studios etc) are non-refundable once these bookings have been confirmed.
Administrative or processing fees charged during booking are non-refundable.

Cancellation Terms:

Once the booking is completed and the booking amount is paid, cancellations will not be entertained under any circumstances.
Upon registration, The Mumbai Studio initiates several processes, including securing the studio, booking professional services (e.g., photography, makeup, studio slots), and processing financial obligations (e.g., taxes and service charges). Therefore, no refunds will be issued for cancellations after registration.

4. Emergency Refunds

In exceptional circumstances, such as medical emergencies, participants may submit relevant documentation (e.g., medical reports) for consideration.
If The Mumbai Studio determines that the case is genuine, a partial refund may be granted after deducting applicable service charges, taxes, and other related costs.
Approved refunds will be processed within 45 days from the date of approval.

Important Note: The decision to grant an emergency refund is at the sole discretion of The Mumbai Studio and will be based entirely on the proofs and evidence provided.

5. Refund Policy Changes

The Mumbai Studio reserves the right to modify or update this refund policy at any time without prior notice.
All participants and their parents/guardians are encouraged to review the most recent version of the refund policy before completing their registration.

Terms and Conditions

Welcome to The Mumbai Studio! By using our website, services, or making a booking with us, you agree to comply with and be bound by the following terms and conditions. If you do not agree with these terms, you must refrain from using our services.

1. General Terms

Eligibility:
To use our services, you must be at least 18 years old. However, there is no age limit for our shoot services, as we believe talent knows no age boundaries.
All participants wishing to register for the event must meet the eligibility criteria.Valid ID proof, which may be required during the registration process for verification and security purposes. Clients are responsible for arranging their own costumes and any specific props needed for the shoot.
Use of Services:
By booking a service with The Mumbai Studio, you acknowledge that you have read, understood, and agree to these terms and conditions.
The client/participant will be required to sign an Acknowledgment Form before availing the services. This formality enables us to collect necessary information, which may be used for collaboration or other related processes in the future. The services will proceed only after this step is completed.

2. Booking Process

Booking Confirmation:
A booking is considered confirmed only once you have received a confirmation from The Mumbai Studio after submitting all necessary details, including payment.
Booking Amount:
A non-refundable advance may be required to confirm your booking.
Booking Rescheduling:
You can reschedule your appointment only if you request it at least 7 working days before the scheduled date. Rescheduling requests made within 7 working days of the appointment will not be accepted.
Booking and Participation:
All participants must complete the registration process via The Mumbai Studio’s official payment platform, available exclusively on the official website. The Mumbai Studio reserves the right to accept or reject any booking without providing a specific reason.

3. Payment Terms

Pricing:
All prices for services are subject to change without notice. The final price will be communicated to you at the time of booking.
Payment Methods:
Payments must be made via the methods outlined on the website or during booking confirmation.
Refunds:
Refunds are subject to the Refund Policy as outlined in a separate section.

4. Client Responsibilities

Accurate Information:
You agree to provide accurate, current, and complete information when booking or contacting The Mumbai Studio.
Photography and Media:
By booking a session with us, you grant The Mumbai Studio permission to use any photographs, videos, or other media captured during the session for promotional purposes, including but not limited to social media and marketing campaigns.

5. Behavior and Conduct

Expected Conduct:
The Mumbai Studio is dedicated to maintaining a professional, respectful, and positive environment for all participants, guardians, and staff. All participants are expected to conduct themselves with dignity, and everyone must ensure that their behavior reflects the same standard. Any form of disruptive behavior, including but not limited to physical altercations, verbal abuse, or disregard for event rules, will not be tolerated. In the event of misconduct, The Mumbai Studio reserves the right to immediately disqualify the participant without any obligation to provide a refund or compensation.

6. Cancellation and No-Show Policy

Client-Initiated Cancellations:
Cancellations must be requested via email or phone at least 7 working days before the scheduled shoot or service date to qualify for rescheduling. Cancellations made less than 7 working days before the scheduled date will not be eligible for rescheduling or refunds.
Studio-Initiated Cancellations:
In case The Mumbai Studio has to cancel the appointment due to unforeseen circumstances, we will inform you at the earliest and reschedule the session based on availability.

7. Data Privacy and Security

Privacy Policy:
Your use of our services is subject to our Privacy Policy, which outlines how we collect, use, and protect your personal information.
Confidentiality:
We ensure that your personal information, including payment details and media, is handled securely and confidentially.

8. Limitation of Liability

The Mumbai Studio will not be liable for any indirect, incidental, or consequential damages arising from the use of our services.
We are not responsible for any personal injury, property damage, or loss occurring during the session.
We are not liable for any technical failures or disruptions in service beyond our control.

9. Third-Party Services

Third-Party Vendors:
Certain services, such as makeup artists or rented studios, are provided by third-party vendors. The Mumbai Studio is not responsible for the actions or omissions of these vendors.

10. Force Majeure

The Mumbai Studio shall not be liable for failure to perform any of its obligations due to circumstances beyond its control, including but not limited to natural disasters, technical failures, government actions, or pandemics.

11. Collaborations and Assignments

Participation in Events:
Participation does not guarantee or imply any future collaborations or modeling assignments. Any future opportunities will be contingent on the specific demands of brands, agencies, and third-party entities. The Mumbai Studio does not make any representations regarding future employment, modeling contracts, or endorsements. These arrangements are negotiated independently of The Mumbai Studio.
Changes to the Event:
The Mumbai Studio reserves the right to modify, postpone, or cancel the event at any time due to circumstances beyond its control. In such cases, efforts will be made to notify participants as soon as possible. No refunds or compensation will be provided for changes. The Mumbai Studio will endeavor to reschedule the event and accommodate participants in the next available batch.
Compliance with Rules:
All participants and their guardians are expected to comply with the event rules. Non-compliance may result in disqualification and legal action. The Mumbai Studio reserves the right to determine appropriate actions in case of rule violations.

12. Event Schedule and Timeliness

Participants must arrive 30 minutes before their designated time slot. Punctuality is crucial. Late arrivals or failure to comply with the schedule may result in disqualification without a refund.

13. Non-Disparagement

Participants and their guardians agree not to engage in actions or make public statements that could harm the reputation of The Mumbai Studio. Legal action may be taken in cases of defamation or disparagement.

14. Indemnification

By registering for the event, participants and their guardians agree to indemnify and hold harmless The Mumbai Studio, its affiliates, staff, and contractors from any claims, damages, or liabilities arising from participation. This includes legal costs associated with defending against such claims.

15. Dispute Resolution

In the event of a dispute, both parties agree to engage in good-faith negotiations. If resolution is not reached through negotiation, arbitration will be pursued before legal action in court.

16. Digital and Social Media

Participants consent to the use of their names and images on digital and social media platforms, such as Instagram, Facebook, Twitter, etc., for promotional purposes.

17. Health and Medical Information

Parents/guardians are responsible for informing The Mumbai Studio about any medical conditions or allergies that may affect participation. The studio will take reasonable steps to accommodate needs but cannot guarantee specific medical provisions. Parents/guardians should take necessary precautions, such as carrying medication or providing emergency contact information.

Shipping and Delivery of Services

Service Delivery:

Upon successful registration and payment of the booking amount, The Mumbai Studio will endeavor to deliver the contracted services within 30-60 days. In the event of unforeseen delays, such as logistical issues, government regulations, natural disasters, or any other reasons, The Mumbai Studio will inform participants as soon as possible. The services will then be rescheduled for the next available batch in the participant’s city. Participants will be notified well in advance of the new schedule.

Service Delivery Timeline:

Once a booking is confirmed, The Mumbai Studio will provide an estimated delivery timeline based on the service requested. This timeline may vary depending on factors such as location, the type of service, and other logistical considerations.
For services such as photography, the final media (photos, videos, etc.) will typically be delivered within 2 weeks from the session date, unless stated otherwise during the booking process. This allows time for extracting, editing, and uploading the raw images, among other processes.

Service Delivery Method:

The digital portfolio will be delivered via a drive link officially to the registered email ID. Physical media or prints (if applicable and charged separately) will be delivered to the address provided during booking.
The Mumbai Studio will ensure that all services are provided securely, safeguarding the privacy and confidentiality of the media.

Shipping of Physical Products:

In cases where physical products (e.g., prints, merchandise, etc.) are part of the service, The Mumbai Studio will arrange for shipment to the provided address 2 weeks after the completion of the portfolio shoot.
Shipping costs will be calculated based on the weight, dimensions, and destination of the shipment and will be communicated to the client during the booking process.
The Mumbai Studio is not responsible for any delays or damages caused during shipping by third-party shipping providers. However, we will ensure that the shipping process is handled with care and in a timely manner.

Shipping Address Accuracy:

Clients are responsible for ensuring the accuracy of the shipping address provided during booking. The Mumbai Studio is not responsible for any delivery issues resulting from incorrect address details. If an error is found, clients must notify The Mumbai Studio within 24 hours of receiving the booking confirmation to make corrections.

Shipping Delays:

While The Mumbai Studio makes every effort to ensure timely delivery, delays may occur due to unforeseen circumstances such as weather, customs issues, or delays by the shipping provider.
In the event of any shipping delays, The Mumbai Studio will notify the client as soon as possible and provide an updated timeline for delivery.

Shipping Costs and Taxes:

All shipping costs and applicable taxes for physical products are the responsibility of the client unless otherwise specified during the booking process.
Clients are advised to check with their local authorities about any additional customs duties or taxes that may apply to international shipments.

Non-Delivery or Loss:

In the unlikely event that physical products are lost or damaged during shipping, The Mumbai Studio will cooperate with the shipping provider to resolve the issue. However, The Mumbai Studio will not be held liable for the loss or damage of products during transit.
